PRIVIT Administrator Reference Guide

This Reference Guide provides an overview of PRIVIT for Administrators. If you are just getting started with PRIVIT, we encourage you to review the Administrator How To Guides first (available from the Help Center).

PRIVIT provides you with a robust Help Center that is accessible right from the software. Within the Help Center you will find: Frequently Asked Questions (FAQs), How To Guides, Video Tutorials, and Submit a Request.

Helpful Tips:

  • Should you forget how to access your PRIVIT site, visit www.e-ppe.com, type in your organization/school name, and click enter. A list of organizations/schools will appear, be sure to click on the appropriate one.

  • When creating your new password, keep in mind new passwords must meet the following requirements: contain a minimum of 8 characters, at least one letter, and at least one number (0-9).

  • When adding staff members, be certain to assign them to a team.

  • If an athlete is displaying "Submission Incomplete" within PRIVIT, you will want to be certain the athlete has joined a team and completed all forms.


Staff Roles Defined:

1. PRIVIT MVP (Administrator)

The PRIVIT Administrator is typically the main contact person between the school/organization and PRIVIT.

An Administrator for a school/organization will have the ability to do the following: 

Under Manage Organization:

  • Edit and update organization profile

Under Manage Teams:

  • Create, edit, copy, and retire teams
  • Manage team staff
  • View team members' emergency information
  • Remove a member from a team
  • Upload documents on behalf of a team member
  • If applicable, view the Physical Date and Physical Exp. Date for team members
  • Send Custom Notification emails to team members

Under Manage Users:

  • Add staff
  • Assign staff roles
  • Remove a staff member

Under Statistics:

  • Review all teams associated with the school/organization
  • Review which teams are retired
  • Review how many athletes belong to a team

2. Coach

When the Coach role is assigned to an individual, this person will only be able to see information relevant to their assigned teams. For any staff member that is assigned the Coach role will be able to do the following:

Under Members:

  • View profile images and name associated with members on the team
  • Ability to upload documents on behalf of a member
  • View the cleared for sports status of a team member and if applicable history notes associated with this status
  • If applicable, view the Physical Date and Physical Exp. Date for team members
  • Ability to see the emergency information for each member
  • Ability to remove an member from the team 
  • Send Custom Notification emails to team members

Under e-PPE Completion (If applicable):

  • Review Team Members
  • View profile images, name, and emails associated with athletes on the team
  • View the percent of completion for an athlete’s e-PPE questionnaire and Personal Details
  • Ability to automatically notify athletes who still need to complete their e-PPE questionnaire and Personal Details

Under Reports:

  • Ability to review a team summary that includes: coach’s name, medical personnel’s name, athlete’s name and profile picture, cleared for sports status, and primary and secondary phone numbers
  • Ability to view the Team Roster that includes: athlete’s profile picture and name, and clearance status 

3. Medic

When the Medic role is assigned to an individual this person will only be able to see information relevant to their assigned teams. Often times this role is assigned to physicians and athletic trainers.

For any team with an assigned user with the Medic role, will be able to do the following:

  • View profile images and name associated with members on the team
  • Ability to upload documents on behalf of a member
  • Ability to edit the clearance status of a athlete and if applicable review the history notes associated with this status
  • Ability to see the emergency information for each team member
  • Send Custom Notification emails to team members
  • If applicable, edit the Physical Date and Physical Exp. Date for team members
  • Ability to download athletes' forms

4. Coordinator

When the Coordinator role is assigned to an individual this person is able to see specific information for all the teams.

Where an staff member is designated as a Coordinator he/she will be able to do the following for all teams associated with the organization/school:

  • View profile images and name associated with members on all teams
  • Ability to upload documents on behalf of a member
  • Ability to edit the cleared for sports status of a team member and if applicable review the history notes associated with this status
  • Ability to remove an member from the team
  • Ability to send Custom Notification emails to team members
  • If applicable, edit the Physical Date and Physical Exp. Date for team members
